2. Travel Services Terms
2.1 Booking and Reservation
When you make a booking through our website or directly with our travel consultants, you are entering into a contract with The Greek Vacation and/or our third-party suppliers of travel services.
A booking is confirmed and a contract comes into existence only when we have received the required deposit or full payment (as applicable) and we have issued a confirmation invoice. Upon receipt of your booking, we will send you a booking confirmation by email which forms the binding contract between you and us.
The lead name on the booking must be at least 18 years old and possess the legal capacity and authority to make the booking and accepts these terms and conditions on behalf of everyone in their party.
2.2 Payment
For confirmed bookings, the following payment schedule applies:
- A non-refundable deposit of 25% of the total trip cost is required at the time of booking
- The balance of the payment must be paid no later than 60 days before your departure date
- For bookings made within 60 days of departure, full payment is required at the time of booking
If we do not receive all payments due in full and on time, we reserve the right to treat your booking as canceled by you and retain all deposits paid or due at that time.
2.3 Pricing
All prices shown on our website are per person based on double occupancy unless otherwise specified. Prices are subject to change without notice due to currency fluctuations, fuel price increases, or unforeseen circumstances. Once your booking is confirmed, the price is guaranteed except in the following circumstances:
- Government action or increases in taxes or fees imposed by third parties, including tourist taxes, landing taxes or embarkation or disembarkation fees at ports and airports
- Exchange rate fluctuations
- Transportation costs (including the cost of fuel)
We will absorb any minor increase in these costs, but if the increase exceeds 8% of your total holiday cost, you will have the option of accepting a change to another holiday if we are able to offer one (we will refund any price difference if the alternative is of a lower value), or canceling and receiving a full refund of all monies paid.
2.4 Changes and Cancellations by You
If you wish to change any part of your confirmed booking, you must inform us in writing as soon as possible. While we will do our best to assist, we cannot guarantee that we will be able to meet your requested change. Any changes are subject to availability and may incur additional charges.
If you or any member of your party cancels your confirmed booking, you must notify us in writing. The following cancellation charges will apply:
- More than 60 days before departure: Loss of deposit
- 59-41 days before departure: 40% of total trip cost
- 40-31 days before departure: 60% of total trip cost
- 30-15 days before departure: 80% of total trip cost
- 14 days or less before departure: 100% of total trip cost
We strongly recommend that you purchase comprehensive travel insurance that includes cancellation coverage.
2.5 Changes and Cancellations by Us
While we make every effort to operate all tours as advertised, we reserve the right to change or cancel any tour, accommodation, or travel arrangements at our discretion. If we make a significant change or cancel a tour, we will inform you as soon as reasonably possible.
In case of a significant change or cancellation, we will offer you the choice of:
- Accepting the changed arrangements
- Taking an alternative tour (we will refund any price difference if the alternative is of a lower value)
- Canceling your tour and receiving a full refund of all monies paid
In circumstances of force majeure (including but not limited to war, terrorism, natural disasters, health emergencies, etc.), we may be forced to cancel or change arrangements without liability beyond offering alternative arrangements or refunds as deemed appropriate.
3. User Responsibilities and Conduct
3.1 Travel Documents and Requirements
It is your responsibility to ensure that you and all members of your party have valid passports, visas, health documentation, and any other required travel documents. We cannot accept responsibility for any loss or expense incurred due to your failure to comply with these requirements.
Passport and visa requirements can change, and you should check with the relevant embassy or consulate well in advance of travel. The name on your airline ticket must match the name on your passport.
3.2 Health and Fitness
You are responsible for ensuring that you are physically and mentally fit for travel. Our tours may involve walking, climbing, and physical activities that may require a certain level of fitness. If you have any medical conditions, disabilities, or mobility limitations, you must notify us before booking so we can advise on the suitability of your chosen tour.
We reserve the right to decline a booking or remove a person from a tour if their condition is deemed to be incompatible with the tour or poses a risk to themselves or others.
3.3 Behavior
You are responsible for your behavior and the behavior of members of your party. If in our reasonable opinion or in the opinion of any other person in authority, your behavior is causing or is likely to cause danger, upset, or distress to any third party or damage to property, we reserve the right to terminate your booking without notice.
In this situation, our responsibility for your booking will cease immediately and we will not be liable for any costs or expenses incurred as a result, including but not limited to return transportation arrangements. We may also seek compensation from you for any costs incurred as a result of your behavior.
3.4 Insurance
Comprehensive travel insurance is mandatory for all clients traveling with The Greek Vacation. Your insurance must cover personal injury, medical expenses, repatriation expenses, cancellation, curtailment, loss of luggage and personal items, and third-party liability.
We reserve the right to request proof of insurance before departure and to decline any booking or terminate any tour participation if adequate insurance is not in place.
4. Liability and Disclaimers
4.1 Limitation of Liability
The Greek Vacation acts as an agent for various transportation companies, hotels, and other contractors providing services on your tour. We exercise all reasonable care in selecting these independent service providers but do not control their operations.
Our liability is limited to matters which are directly under our control. We are not liable for:
- Any injury, loss, accident, delay, irregularity, damage, or expense arising from acts or omissions of any company or individual providing services on the tour
- Any changes to travel arrangements, delays, or defaults by any transport or accommodation providers or any other third parties involved in delivering services on the tour
- Any loss or damage resulting from political unrest, natural disasters, weather conditions, or other circumstances beyond our control (force majeure)
- Any personal possessions lost or damaged during the tour
In no event shall our liability exceed the amount paid by you for the tour services. Nothing in these terms and conditions shall limit or exclude our liability for death or personal injury resulting from our negligence.
